Job Location: Orange, CA

The Academic Data Analyst in the Office of the Provost is responsible for providing data and compiling reports for academic and administrative offices at Chapman University. This position will work with the Vice Provost, Senior Academic Data Analyst, and other university administrators to prepare class schedule and program review data to be provided to programs and departments on campus. The Data Analyst is responsible for supporting academic processes and software used by the University. This role supports the academic administrative operations of the University, including, but not limited to supporting the Vice Provost during Chairs meetings, providing standard reports and data to academic and administrative constituents, and addressing ad-hoc information requests. Additionally, this position is responsible for training academic personnel to use academic software and for addressing user issues with academic applications.

Responsibilities

Data and Reporting (30%)
Provide data support to academic and administrative offices by utilizing reporting tools and verifying data accuracy.
  • Assist in creating and evaluating data sets.
  • Assist with analysis of user request; identify potential problem areas and recommend solutions.
  • Assist in creating reporting tools to extract and compile requested data. Work with supervisors to coordinate data requests and ensure that reports are provided in a timely manner.
  • Follow up on pending requests and assist offices with reporting problems.
Maintain reporting tools to assist academic units in obtaining information collected in PeopleSoft Campus Solutions. These reports may be routine such as the “common data set” used by numerous higher education publications or may be special, one-time reports.

Prepare class schedule and program review data.

  • Clean and prepare multiple data sets with the assistance of the Vice Provost and Senior Academic Data Analyst.
  • Follow up with schools and departments on data issues.
  • Maintain MS Access database and other reports using cleaned class schedule data.
  • Work with university administrators to update and provide data based on program review requirements.

System Troubleshooting (25%)
Provide front-line support in the Provost’s Office for academic systems help-desk requests including, but not limited to, mail merge and data entry issues.
Training (15%)
Collaborate with supervisor to provide training for academic staff on academic application to ensure effective use

Third-Party Program Maintenance (15%)

Participate as a team member, or as a co-project manager in application selection, implementation and/or upgrade projects (e.g., Follett, Acalog, Curriculog, etc.)

Data Analytics (10%)

Support Chapman University’s data analytics system by troubleshooting user issues and identifying potential issues with existing reports.

Other Duties (5%)

Perform other duties and special projects as assigned

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • Strong technical skills to learn and become proficient in computer applications and administrative systems used by the university.
  • Demonstrated ability to work independently and take initiative.
  • Computer skills in the use of word processing, spreadsheet, database, Internet and electronic mail software, preferably of Microsoft Office Suite applications.
  • Demonstrated effective communication and interpersonal skills, with the ability to interact with individuals and groups at all organizational levels.
  • Strong analytical skills to understand diverse academic data, create reporting tools, and generate reports.
  • Strong team player.
  • Telephone skills to communicate with students, faculty, and staff.
  • Strong organizational skills to prioritize tasks and complete them in a timely manner.
  • Knowledge of basic arithmetic computations including addition, subtraction, multiplication, division, fractions, and percentages.
  • Strong writing skills to prepare clear and concise correspondence and manuals.
  • Experience in prioritizing duties when faced with interruptions, distractions, and fluctuating workload
  • Ability to demonstrate tact and diplomacy and maintain the highest level of confidentiality.
  • Ability to use standard office equipment: telephone, copier, fax, PC, computer printers, etc.
  • Strong data entry skills.
  • Ability to maintain data integrity and accuracy.

Experience working in higher education.
