Job Title – Senior Project Management Analyst

Role Description
The position sits within the Programme Management Office (PMO) of DWS Technology. The Programme Management Office is the information hub for projects and programmes and involves tracking/reporting, assurance/quality control, information management, financial tracking, risk/issue tracking, change control, support and knowledge management/learning.
The role of the PMO analyst is to support delivery of project tasks and ensure appropriate application of the project management framework. Activities include tracking status of project deliverables and milestones; supporting the adoption of the project lifecycle and deliverables; project/programme level risk and issue co-ordination; monitoring the status of projects transitioning into normal service; financial tracking; coordination of the regular project and programme level reporting cycles; co-ordination of project governance arrangements, post project review and programme level workshops.
A successful candidate should have basic experience of program management and PMO skills, the ability to effectively collaborate and communicate, and to get up to speed with content quickly across many topics and areas. Strong writing and presentation skills and a keen eye for detail are essential.

Your key responsibilities
The role is within the DWS Technology PMO Purchasing / Vendor management team.
Purchasing / Vendor Management
- End to end co-ordination of requisition requests through approvals up to PO creations
- Coordinating with relevant stakeholders for any required inputs/queries from DbBuyer team
- Communicate key PO details to Hiring managers (HM) to ensure resources are extended appropriately in HR tool to avoid offboarding
- Support hiring managers with activities related to raising purchasing orders in the Ariba tool, management in the Workday tool e.g., raise headcount positions, add requisitions to positions globally and cross-divisionally, action tasks linked to new position requests
Resource Management
- Manage Workday entries for hiring managers
- Onboarding activities including new joiner set up, hardware requests and building access
- Support Project PMO team with resource forecasting in project management tool (Clarity)
- Support capacity management activities
Governance & Standards
- Support the implementation of governance standards across the portfolio, including tracking, monitoring and updating the status of capacity management
- Participate in the documentation and automation of PMO processes
- Change Control Governance (Scope, Costs, Schedule, Benefits)
- Work with stakeholders at varying levels and develop strong relationships with all project/programme stakeholders
Reporting & MIS
- Support automation of reports linked to resource management
- Support the wider team to prepare all materials for Investment Governance and Risk Change Portfolio Management
- Monitoring and reporting on progress of the resource onboarding to key stakeholders and managing the pipeline
- Extract reporting from dbDataCore/dbClarity/Workday to check accuracy and completeness of programme and resource related data

- Experience working as part of a globally distributed team

- Ability to demonstrate strong written, verbal communication and presentation skills to all levels of seniority and disciplines within the organisation
- Ability to integrate well into a team and build relationships with senior stakeholders
- Capable of handling different important tasks simultaneously, with ability to challenge & prioritize
- Good knowledge of the MS Office Suite, in particular strong knowledge of Excel and PowerPoint
- Experience of using PPM and project management tools (e.g. Clarity / MS Project / Project Server)
Experience
- Previous experience in a similar PMO role within financial services
Education / Certification
- Bachelor’s Degree from an accredited college or university
