The Federal Reserve Bank of Chicago has an opening for an Assistant Business Operations Analyst supporting the Research, Policy and Public Engagement (RPPE) department. Our department conducts policy-relevant research on macroeconomics, microeconomics, financial studies, regional economics, and community development.
As the Assistant Business Operations Analyst, you will focus on coordinating travel requests, bookings, and reimbursements for the department. You will also provide other administrative support, including managing a purchasing card, tracking attendance, and conducting other daily office operations. You will be part of the broader RPPE Support Team and report to the Manager of the Business Operations team.

Coordinate RPPEโs travel function that includes understanding and communicating travel policies, acquiring all pre-trip approvals, completing travel reservations, and submitting post-trip reimbursements
- This includes all travel related to staff as well as external visitors, conference attendees and speakers, and prospective job candidates
- Travel policies and procedures need to be constantly monitored for changes and the corresponding processes modified to reflect updates
- Reservations and reimbursements are time sensitive and must be completed promptly and with accuracy
- Facilitate RPPEโs attendance function that includes processing time-off requests, communicating updates and changes timely to the department, working with management to audit individual time, as needed, and coordinating FMLA and other leave paperwork

Facilitate general day-to-day office operations, such as:
- Manage the departmentโs purchasing card by completing order requests, reconciling payments, and remaining up to date on all procurement policies
- Ordering office supplies and maintaining appropriate inventory
- Processing facilities requests, both reactively and proactively

Proactively communicate with manager, team members, and staff effectively and efficiently to complete all tasks
- Provide manager with formal updates on travel and reimbursement status based on information shared through a request tracker
- Effectively communicates across departments through remote methods, such as: email, messaging, MS Teams
- Maintain and organize files, records, and archive systems
- Handle confidential and routine information in accordance with information security policies and procedures
- Require strong (learned) understanding and application of travel and reimbursement policies/procedures
- Customer service oriented with the ability to efficiently fulfill staff requests is a must
- Strong attention to detail
- Ability to proactively and effectively communicate (both written and verbal)
- Ability to prioritize multiple requests from multiple staff
- Exhibit good judgment and professional etiquette
- Possess time management and organizational skills
- Strong relationship building skills
- Proficient in Microsoft Office suite
- Possess and apply intermediate internet skills
- Bachelor’s degree or equivalent experience
