IFF in Wilmington, DE is seeking a Knowledge Management Analyst to join our team!
The Global Regulatory Affairs (GRA) Knowledge Management (KM) Analyst will support the broader GRA function with the implementation and maintenance of GRA knowledge management & documentation systems and processes to meet internal & external global business and country regulatory needs & requirements. The role will provide tactical support to GRA KM-focused initiatives, including partnering with other functions outside of GRA as appropriate.
Responsibilities:
- Support the capture and interpretation of regulatory and functional requirements for the KM portfolio
- Support efforts related to the implementation of a centralized document management system and related applications, including requirements, design, training, etc.
- Manage project activities related to physical records management, including validating storage records, archival, digital transformation and other related tasks.
- Support activities for data migration (hard and soft content) across multiple systems and applications
- Help draft SOPs, process workflows and guidance documents in support of new processes and tools, and where appropriate support training of end users
- Help design and support improved & streamlined processes for Reporting, including Monthly Reporting templates, Lists and Dashboards
- Provide KM and Project Management support to the GRA team and support the growth of the KM tool suite across IFF through partnerships and collaboration with IT and other business functions.
- Engage with GRA, IT and other Function leadership to help facilitate the adoption of and continuous improvement of KM initiatives, including tools, processes and people-related components, with an emphasis on change management.
- Support developing and facilitating training to GRA in the areas of knowledge management, documentation, project management and other related efforts
- Help foster the broader use of guidance documents and knowledge management collaboration tools such as SharePoint, PowerApps, Power BI, forms and workflows by the GRA team and our internal business partners
- Serve as first point of contact for management of the GRA SharePoint site collections, including development of new forms, site administration (access, library creation/maintenance, etc) and other tasks as needed
- Other duties and projects as assigned
Job Requirements
Qualifications:
- 3+ years of related experience (knowledge management, documentation management, SharePoint administration, etc.)
- Bachelor’s degree in Library Science, Information Management or Knowledge Management preferred; degrees in other fields may also be considered
- 1-2+ years of project management experience, preferably for IT-heavy projects
- Experience applying complex rules/guidelines to a large set of material (e.g. records management best practices)
- Ability to influence diverse, multi-functional, cross ¬geographic teams and networks.
- Ability to organize and manage multiple processes / databases and complete multiple tasks to meet deadlines.
- Demonstrated skills in communications, networking, and interpersonal relationships – fluency in English is required
- Ability as a self-starter, willingness to take initiative, and yet strong attention to detail and strong organizational skills
- Proficiency in SharePoint and other Microsoft Office 365 tools and demonstrated ability to rapidly master new applications.
Preferred Experience:
- Training or experience in Biotech, Life or Chemical sciences
- Knowledge management and/or document management certification(s) (e.g. Certified Knowledge Practitioner/CKP, Certified Knowledge Manager/CKM)
- Proficiency in relational databases and other content management tools
- Change Management experience, specifically concerning user adoption of new technology and/or processes
