Position Summary:
The role of the TQM Analyst is to assist the Department with various tasks (Financial & Technical Performance Reporting & Analysis; Vendor Liaison and contract compliance; Purchasing/Expense Tracking and Inventory asset management.
Key Responsibilities:
- Create monthly management MANCOM operating plan report to include monthly performance KPIs and targeted operational results for both B2B and B2C operations.
- Analyze key 3rd party service provider vendor monthly technical reporting data for accuracy, KPIs. Prepare reccomended action plans for improving quality of service performance based on the analysis
- Track and analyze technician performance results for key metrics and performance objectives.
- Conduct TQM department monthly budget prepartion; assess variances; adjust DF forecasts for operating plan.
- Track all department monthly expenses; reconcile Pcard transactions; allocate expenses per leased workshop facilities. Develop and maintain internal forecasting models to ensure accurate predictive analysis.
- Ensure that the relevant formula are implemented based on historical data, seasonality & business variables
- Define the relevant variables together with key stakeholders
- Assist in the definition and ensure the tracking of business targets for the TQM department
- Maintain & adjust the forecasting based on actual results & key learnings throughout the year. Prepare and assist with monthly Accrual process with relevant stakeholders from Finance, Sales, Operations. Follow finance processes and policies as required.
- Set up new suppliers & complete all documentation requirements for vendor contract implementation
Manage all security deposits, lease renewals, conduct invoice reviews and reconciliation against work orders; process and track exceptions for high cost invoice approvals.
- Assess and track key deliverables for contract compliance
- Manage purchasing of workshop supplies, equipment, tools and parts with approved vendors; Track shipments, reconcile invoices, file receipts and reconcile monthly statements for payment approvals
- Prepare monthly tracking spreadsheets of budgeted expenditures; analyze variances; frequency of orders; utilization of supplies per workshop; analyze trends and determine opportunities for improved procedures; efficiencies of operations. Record and maintain database of loaner machine assets deployed in field; oversee purchasing of parts for direct service workshops and record and maintain records of spare parts purchased per workshop for trending and forecasting requirements.
- Manage Special Projects as defined to support B2B & B2C Technical Quality Management department objectives; create tracking methods and procedures; develop custom reporting; analyze business trends and recommend financial; process and operations efficiencies based upon in-depth business analysis of historical and forecasting data
- 3+ years of experience working in a professional office/customer service environment required
- 3+ years of experience in business analysis and/or process improvement preferred
- Strong working knowledge of Windows and MS Word/Outlook required
- Intermediate/Advanced Excel and PowerPoint skills required
- Excellent verbal and written communication skills
- Ability to understand technical concepts and developed problem solving skills
- Ability to multitask in a fast-paced high growth B2B & B2C environment
- Strong Customer Service skills
