The Enterprise Technology Delivery organization delivers projects and programmes aligned to the 4 Key Enterprise Technology Portfolios i.e Productivity, Identity & Access Management & Security, Digital Platforms and Connectivity. This is an exciting and fast-changing area of IT where you will help drive the introduction of new technology that creates value and effects change across the whole of the Shell Group. Each of the Enterprise Technology Portfolios has its distinct identities and challenges but regardless, you will benefit from experiencing new technology first-hand as it is introduced both to our Business Users and to our IT Colleagues. The Project Diligence role is a part of our Project Services (PS) team within Shell’s Enterprise Technology & Projects (ET&P) Enterprise Technology delivery unit, working closely with stakeholders from ET&P delivery towers, delivery lead, program & project managers, PMOs , enterprise resource management team and supplier/vendor organizations to ensure that delivery is optimized.
What’s the Role?
As Project Diligence Business Analyst, you will be responsible for ensuring that Enterprise Technology & Projects (ET&P) resources are allocated fully to the projects. You will work with delivery leads to drive quality, review the available list of resources, make sure available resources are fully allocated to projects, review open demands with suppliers/vendors, escalate management and maintain KPI consistency across the resource management data.
Accountabilities:

Work with and support the Delivery organization in the allocation of all the available resources across all the ET&P towers to projects.

Manage resourcing processes (demand validation, allocation, de-allocation, Operational plan creation, KPI tracking) for large accounts and engagements.

Resourcing data analytics, reporting & communication management.

Engage with Suppliers/Vendors on a weekly/monthly basis to review the list of open demands and resource plan status.

Work with and engage hiring managers and IT sourcing teams till contractors are onboarded.

Proactively review ServiceNow PPM/Resource Management data, working closely with the delivery team to ensure data is accurate and up to date.

Registration and maintenance of vacancies, screening of candidates and other actions inherent to the selection processes.

Creation and maintenance of resource plans in the ServiceNow tool.

Create weekly, monthly, and quarterly reports. Conduct monthly handshake meetings with delivery managers on resourcing data reviews.

Support in new Suppliers/Vendors governance process setup and onboarding.

Project escalation management – Manage escalations, assessing and collecting required information from the initiator, tracking and tracing the status of the project escalations with the party/person responsible to resolve, creating escalation meeting agendas, capturing updates and actions, keeping the escalation tool up to date, follow up on actions and advice if escalations need to move to the next escalation level, initiate and lead meetings to get alignment between the initiator and resolving party and drive escalations towards resolution.

Contribute to organizational initiatives such as continuous process improvement, process or tools transformation, simplification, automation, communication, and stakeholder training.

Work with project managers to ensure that required phase-wise deliverables are created, reviewed, and approved and necessary evidence is stored in repositories as per information management guidelines and control requirements.

Support controls compliance and monitoring requirements, readiness efforts and periodic internal or external audits.
What we need from you:

A 4-year graduate or master’s degree in IT or a related field.

Minimum of 6-8 years of relevant work experience in resource and escalation management.

In-depth knowledge of ServiceNow ITBM toolset.

Proficient in MS Office Suite with advanced data analysis skills in Excel, PowerPoint and other Power platforms like Power BI, Power flows etc.

Good to have exposure to project management methodologies

Strong stakeholder, interpersonal relationship, and negotiation skills

Ability to deal with conflict and ambiguity effectively
-
Ability to handle concurrent tasks with appropriate priority
-
Ability to communicate concisely and clearly.
