The Associate PMO would be required to work in a team environment in delivering and managing the administrative needs of the projects for stakeholders. The associate program manager is typically the secondary interface with the customer and internal departments. The individual will be closely working with PMO, product team, sales team, finance, and client team (when and as required).
Duties and Responsibilities
Major Responsibilities:
- Creates and implements project definitions, schedules, budgets, and objectives for one or more medium-sized projects of low to moderate complexity.
- Prepares detailed statements of work and gains concurrence and approval from stakeholders regarding various project aspects and adjusts accordingly.
- Assist in onboarding of projects. Organizes project team members to ensure communication and understanding of overall scope and deadlines.
- Manages costs, schedules, and Utilization by overseeing project deliverables. Ensures schedule and budget are met. May revise as appropriate.
- Provide a clear understanding of utilization deviation and devise a plan to tackle the same proactively.
- Performs ongoing review of project status; identifies possible project risks associated with Utilization, Allocation, Delay. Recommends and implements risk mitigation solutions as approved and as appropriate.
- Oversees the resource pipeline and works with the HR and Product team for staffing of projects.
- Calendarize meetups (weekly or/and ad-hoc) with product consultants to monitor team progress and report questions or concerns or risks to the PMO & Leadership Team.
- Tracking and keeping tag of resource allocation for all projects & connecting with Product Consultants and team weekly or as-and-when-required
- Verify weekly and ad-hoc reports (both data and monthly cost-wise) prepared by Product Consultants before its sent to the clients.
- Able to manage stand-up meets with the team (either 1-to-1 or in the group)
- Managing resource and team timesheet, and understanding resource availability and resource burn-outs.
- Works on operational program management needs that might sometimes be for Project & Software Procurement, Pre-sales, and lateral work.
- Sharing reports with higher management and leadership as and when required.
- To own and direct the project onboarding for new projects under the thence program.
- Keep track of Potential Risks, Issues (across all projects within the Thence Program) and beam it to the PMO, Delivery Head for next steps and actions.
- Working with the HR Team to manage staff & resources for Programs
- Working with the Sales Team on helping with pre-sales (when needed), resource availability, and new project onboarding activities.
- Connecting with the Finance Team on an ad-hoc basis and as needed
- Performs additional duties as assigned required to contribute to Thence’s continued growth.
Skills Required
Functional:
- Good stakeholder management skills (both internal and client-side)
- Ability or knowledge to apply the change, risk, and resource management
- Connecting with Client and stakeholders as and when required for both project operations and finances
- Coordinating cross-program (project) activities across Thence
Organizational / Attitude:
- Outstanding organizational and time management skills.
- Self-motivated, takes initiative, and is willing to accept responsibilities for results.
- Commitment to learning and should have an attitude to learn
- Is a strategic thinker: Ability to juggle multiple goals and deadlines in the context of the big picture
- Experience developing best practice standards and supporting process documentation
- Sound understanding and hands-on knowledge of status reporting analyzing financial data including budgets, resource allocations, capacity planning, etc
- Shares a passion for standards and defined processes
- Polite attitude while working with peers, juniors and seniors
- Good interpersonal skills.
Good to have:
- Understanding spreadsheets and being able to verify, crunch numbers and create various dashboards and view
- Excellent presentation skills
- Understanding of program and project management.
- Knowledge of agile project framework, project roadmaps and sprint planning
Qualifications
- Bachelor’s degree in business administration or project management or related field.
- 1-2 years full-time program/project management or related experience preferred.
- 2-5 years of IT industry (product or design domain) experience
- Knowledge of Google Sheet, Doc, Slides, and Drive is a plus
