The location of this position is flexible, involving work on-campus, remotely, or a combination of both. An agreed-upon schedule for this position, will be determined with the position’s supervisor as applicable. Remote work will require reliable internet access and a suitable workspace free from distractions and risk of disclosure of any confidential data. Position location may be subject to change at any time based on campus initiatives. Ample notice of any changes will be provided.

Purpose

Provide program management support to the Biomedical Data Science Hub including managing the budget and finances related to participation in sponsored projects by BDS Hub faculty and staff, program administration, communication with collaborators, and other activities related to project implementation.

Responsibilities

Assist with developing and monitoring Biomedical Data Science Hub business policies, processes, and procedures in accordance with University requirements. Maintain broad organizational perspective to effectively carry out relationships of the Biomedical Data Science Hub and its internal and external partners/collaborators, including communications, high level program support and facilitating various special projects.

In collaboration with the Director, help define project scopes, determine available resources, develop project plans, budgets and timelines. Monitor program and professional development expenditures to ensure spending is within budget and properly allocated. Analyze budget variances to aid in programmatic and business decisions. Communicate with payroll (Finance and HR Departments) and sponsored projects (Research Operations Office) about salaries/transfers on various accounts. Manage logistical follow up and next steps and monitor progress.

Perform high level organizational duties such as managing the Biomedical Data Science Hub using tasks lists, including creating, designing and implementing processes and procedures utilizing current technology. Maintain accurate and professional correspondence logs, files, information databases, and other tracking systems as necessary. Help test, run, and maintain project management tools.

Coordinate, process, oversee, advertise, and track human resources activities including, but not limited to faculty, staff, and student internship job postings/ads, recruitment, interviewing, hiring, onboarding, and professional development. Orchestrate and facilitate onsite faculty recruitment visits. Organize and document internal onboarding of new employees to the Biomedical Data Science Hub’s organizational structure, culture and business processes.

Assist in promoting, organizing, and scheduling events related to training activities and educational offerings of the Biomedical Data Science Hub. Serve as liaison to faculty and students. Manage projects as assigned on behalf of the Director in collaboration with Hub partners.

Other related duties as assigned.

Required Qualifications

Bachelor’s degree and at least five years of experience with advanced administrative functions, particularly calendar management and other support directly for senior executives. Effective communicator with excellent oral, written, and interpersonal communication skills. Demonstrated problem-solving and critical thinking skills. A self-starter ability to work efficiently and flexibly in a fast-paced environment with minimal guidance. Outstanding organizational and time-management skills. Highly detail-oriented. Professional demeanor with tact and respect at all times. Ability to address individuals and information with a high degree of sensitivity and confidentiality in various delicate, formal or urgent situations. High level of proficiency with Microsoft Office programs: Excel, PowerPoint, Word, Outlook, etc. Relevant education and experience may be substituted as appropriate, specifically a high school diploma without a Bachelor’s degree requires 9 years of relevant experience; a Master’s degree in addition to a Bachelor’s Degree requires only three years of relevant experience; and a Doctorate requires only 1 year of relevant experience. Preferred Qualifications

Master’s Degree. Management of sponsored projects. Experience at UT Austin, including working with administrative data base systems such as RMS, Workday, etc. Project management and meeting facilitation. Start-up experience in any sector. Experience in health care delivery or related setting. Experience in academia.

Salary Range

$65,000+ depending on qualifications

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
