Job Description Summary

This position is responsible for maintaining the health of the University’s Procure-to-Pay (P2P) environment through the use of analytics. Maintaining the health of the P2P environment includes monitoring for anomalies in data and system errors; reviewing data for duplications and exceptions; and assisting with the testing of system and process upgrades and new processes; and identification of process improvements. This position will also be responsible for analysis of certain data related to IRS 1099 reporting, payment approvals, duplicate transactions, and other financial transactions.

This position will require providing exceptional customer service and collaboration within the Procurement & Payment Services team and with other departments and colleagues across campus.

Job Description
Essential Functions:
  • Establishes strong relationships with the campus community and outside partners to understand data requests and needs for campus to make business decisions.
  • Develops and maintains a comprehensive understanding of the University’s and Finance’s policies and procedures related to P2P processes.
  • Provides high-level advanced data support and analysis to further the mission of the University, the P2P team, campus partners, and stakeholders.
  • Identifies gaps in processes and technology, identifies process improvement opportunities, and develops plans to address identified improvements.
  • Reviews data to find trends of non-compliance and communicates those to management with potential solutions and/or identification of root causes.
  • Assists with semi-annual testing of the University’s Financial ERP system and creates and implements testing for process improvements and weekly system updates.
  • Assists with onboarding punch-out catalogs and/or eInvoicing suppliers.
  • Promotes non-traditional solutions where needed to offer new and creative solutions to improve customer service.
  • Assists with financial and departmental close processes.
  • Documents internal P2P processes.
  • Promotes quality service by supporting and demonstrating excellent customer service standards, analyzing and resolving customer service obstacles, and recommending improvements.
  • Promotes social responsibility programs and improves the University’s awareness, engagement, and support of global citizenship and community outreach initiatives.
  • Any other duties as assigned.
Other Functions:
  • Assists team with transactional processing issues or challenges.
  • Possess working knowledge of Procure-to-Pay processes for assistance in the development of optimal processes.
Required Education, Knowledge, Skills, Abilities:
  • Associates Degree in Business or related field and two years of related work experience or equivalent in work experience.
  • Strong understanding of entire procure to pay process.
  • Strong and effective communication skills, both oral and written.
  • Strong organizational skills and ability to handle multiple projects while meeting critical deadlines.
  • Strong analytical thinking skills.
  • Ability to be flexible and open to change.
  • Ability to work positively in a demanding, fast-paced, team-oriented environment – both independently as well as collaboratively.
  • Comfortable with learning and adapting to new processes, technology and environment.
  • Advanced knowledge of financial ERP systems.
  • Proficiency in MS Office (Excel, Word, PowerPoint), email, and internet.
Preferred Education, Knowledge, Skills, Abilities:
  • Bachelor’s Degree in Business or related field and five years of related work experience.
  • Experience with Workday Financials.
