Responsibilities


Position Summary
The System, Operations Analyst is responsible for identifying and developing projects, administration, and ongoing management support of programs / services supporting Facility Management, Energy and Infrastructure (FMEI). The national program is organized to standardize, streamline, and centralize the Facilities Departments across 100+ locations. The Operations Analyst function includes conducting detailed data analysis of all current and future initiatives within the national facilities program, conducting business case analysis of proposed initiatives including insource / outsource decision making, monthly reporting, and improving existing operations of the program, while providing analytical and operational support to the FMEI team.
This position is responsible for all analytical processes that support FMEI resulting in improved operational efficiencies of the national and local programs. This position is responsible for tracking and benchmarking national facility and construction initiatives and programs; coordination of initiatives between and among Divisions/Markets and national groups. The position is also responsible for managing contract resources required for special projects. This position is eligible for telecommuting.

Reporting Relationships
This position reports directly to the System VP, Facility Management, Energy and Infrastructure, and interfaces with the various people and teams across the enterprise as needed, for all Facilities related projects, minor construction projects, and special projects as assigned.

Key Responsibilities
Conducts opportunity analyses: Analyzes business and / or operating procedures to identify most efficient methods of accomplishing work within the FMEI department. Analyze and report on gaps in workflow and procedures, such as: 1) organizational changes from the System level through the Division / Market levels to the local sites; 2) communications / information flow; 3) variations of inventory and asset management in CMMS system and capital planning software; and 4) business case analysis to aid in decision making.
  • Gathers and organizes information on Facility Management and minor construction projects on problem or procedures including operating procedures, and the development of recommendations to improve existing operations within the healthcare facilities construct.
  • Analyzes data gathered, develops information and considers available solutions or alternate methods of proceeding. Will be required to have thorough knowledge and access to CommonSpirit Health specific programs that include:
    • Lawson – accounting management software.
    • Axiom – Capital / Operating budget reporting software.
    • FacilityOne – Computerized Maintenance Management Systems
    • Legacy FM – FM Training Program; Learning Management System
    • Capturis – National bill pay data base.
    • Energy Star Portfolio Manager – National energy use database.
  • Manages and maintain relationship with external vendor partners for FMEI initiative.
  • Organizes and documents findings of studies and prepares recommendations for implementation of new systems, procedures or organizational changes based on guidance from facilities leadership.
  • Promotes accountability and assists in ensuring objective timelines are met.

Operating Analysis and Audits
  • Conduct operational effectiveness reviews to ensure functional or project systems are applied and functioning as designed.
  • Development and presentation of operational adjustments to systems to improve operational efficiencies.

Financial
  • Works with System / Division / Market / Hospitals on the development of annual budgets.
  • Compiles, consolidates, assembles and presents all financial metrics for program.
  • Conducts productivity analysis between budget performance, computerized maintenance management system (CMMS) and labor reporting.
  • Establishes, reports, coordinates and tracks capital requirements for facility related assets.

Training Materials
  • Develop and/or update functional or operational manuals outlining established methods of performing work in accordance with organizational policy.

Key Skills, Knowledge, & Abilities
  • Ability to solve practical problems and deal with variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Understanding of cost-benefit analysis in selection of sustainable business strategies. Knowledge of financial planning including budget development, consultant contract review and project budgeting.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to prepare, analyze and present budgets, detailed financial and business case studies.
  • Outstanding communication and interpersonal skills. Must be able to communicate with all levels in a respectful, supportive, positive, objective manner, keeping the issues at the forefront of the discussion.
  • Ability to effectively present information and respond to a variety of analytical support requests.
  • Organizational skills: time management, self-motivation, project management, priority setting.
  • Computer Skills: MS Office (Word, Excel, Power Point, Access), Google Suite, Outlook, Relational Databases, and Project Management Software.
  • Facilitation, change management and group process skills.
  • Working knowledge of codes and standards. These include but may not be limited to those that regulate the healthcare industry.

Education and Experience
  • Minimum of 5 years of related experience, with 3 years in facilities support, value analysis, financial analysis, benchmarking preferred.
  • Bachelor Degree in a related field required or equivalent combination of education and work experience may be considered.

Travel

Travel between System Offices / Divisions / Markets / Hospitals estimated at 10%.

A compensation range of $57,000 – $75,000 is the reasonable estimate that CommonSpirit in good faith believes it might pay for this particular job based on the circumstances at the time of posting. CommonSpirit may ultimately pay more or less than the posted range as permitted by law.
